Big Little Cupcake Foundation (“we,” “us,” or “our”) is a 501(c)(3) nonprofit organization that supports mothers living with mental health challenges. We respect your privacy and are committed to handling your personal information responsibly. This Privacy Policy explains what we collect, why we collect it, how we use and share it, and the choices you have.

Scope of this policy

This policy applies to information we collect through our website and related services — including when you browse the site, register for an event, make a donation, subscribe to our newsletter, or contact us. It does not apply to third-party websites or services we link to, which have their own privacy practices.

Information we collect

We collect information in the following ways:

Information you provide to us

  • Event registration details — your name, email address, phone number, the number of attendees and children attending, the calendar day(s) you plan to attend, and any notes you choose to share.
  • Contact and inquiry details — when you use our contact form (including volunteer, partnership, and program inquiries), we collect your name, email address, phone number, area of interest, and your message.
  • Newsletter subscriptions — your email address and your subscription status.
  • Donation information — donations are processed by our payment provider, Stripe. We receive confirmation of your donation, the amount, whether it is one-time or recurring, and limited billing details. We do not collect or store your full payment card number on our servers.

Information collected automatically

  • Technical and usage data — basic information your browser or device sends automatically, such as IP address, browser and device type, and the pages you view. This helps us keep the site secure, diagnose problems, and improve the experience.
  • Security signals — information used to protect our forms against spam and automated abuse (see “Cookies and similar technologies” below).

How we use your information

  • To process, confirm, and manage event registrations, including waitlists and reminders.
  • To process donations and send you a receipt or confirmation.
  • To send newsletters, program updates, and event reminders you have requested.
  • To respond to your questions, inquiries, and requests for support.
  • To operate, maintain, secure, and improve our website and programs.
  • To comply with our legal, tax, and accounting obligations as a nonprofit.

We do not use your information for third-party advertising, and we do not sell your personal information.

Cookies and similar technologies

We use a small number of cookies and similar technologies that are essential to operating the site securely. These include protections that keep our forms working and guard against cross-site request forgery, spam, and automated abuse (for example, our bot-protection provider). We do not use advertising cookies or cross-site tracking for marketing purposes. Most browsers let you manage or block cookies, though blocking essential cookies may prevent some features — such as form submissions — from working.

Service providers we use

We work with a limited set of trusted providers who process information on our behalf, only as needed to deliver our services and under appropriate confidentiality and data-protection obligations:

  • Stripe — secure payment processing for donations.
  • Brevo — delivery of transactional and newsletter emails.
  • Cloudflare — bot protection and abuse prevention on our public forms.
  • Hosting and database providers — to host the website and securely store registration and subscription records.

How we share information

We do not sell or rent your personal information. We share it only in these limited circumstances:

  • With the service providers listed above, to operate our services.
  • When required by law, regulation, legal process, or enforceable governmental request.
  • To protect the rights, safety, and property of our community, our organization, or others.
  • In connection with a merger, acquisition, or transfer of our organization’s assets, in which case we will continue to protect your information consistent with this policy.

Children’s information

Many of our programs and events serve families with children (generally ages 2–16). Information about children — such as attendance counts or notes relevant to an event — is provided by a parent or guardian during registration and is used only to plan and run those programs. We do not knowingly collect personal information directly from children, and our website is not directed to children for the purpose of independent sign-up. If you believe a child has provided us information without parental consent, please contact us and we will delete it.

Data retention

We keep personal information for as long as needed to provide our services and to meet legal, tax, and accounting requirements. Registration and donation records may be retained longer to satisfy nonprofit recordkeeping obligations. When information is no longer needed, we take reasonable steps to delete or anonymize it.

Your choices and rights

  • Newsletter — you can unsubscribe at any time using the link in any email we send, or by contacting us.
  • Access, correction, and deletion — you may request a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it, subject to our legal recordkeeping obligations.
  • How to exercise your rights — email info@biglittlecupcake.org. We may need to verify your identity before acting on a request.

How we protect your information

We use administrative, technical, and organizational safeguards designed to protect your information, including encryption in transit, restricted and multi-factor–protected administrative access, and least-privilege access controls. You can read more on our Security page. No method of transmission or storage is completely secure, but we work to protect your information and to respond promptly to any issues.

Third-party links

Our website may link to external resources, partners, or social media. We are not responsible for the privacy practices of those third parties, and we encourage you to review their privacy policies.

Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above, and significant changes will be communicated where appropriate. Your continued use of our website after an update means you accept the revised policy.
